Job Title: Ministry Assistant, Member Development

SUMMARY OF DUTIES
Provide support to the New Member “Step” Classes, Volunteer Services and various committee workings.
New Member “Step” Classes – to organize/coordinate the table assignments for each Step 1 class and other Step classes meeting on Sundays. Send “email” documentation to the Step Leader Teams, Staff and volunteers for their assigned week. Update “reporting” systems that track all new members from Step 1 to a Bible Fellowship Class. Send out all necessary correspondence to new members, no shows and staff team members. Calendar all necessary rooms and notify Food Service each week of setup needs. Utilize and delegate certain work to the interns!
Volunteer Services – to coordinate and oversee the volunteer application process for all volunteers at Bellevue. Review all applications for completeness, scan and upload all applications into the computer system and coordinate approvals through three areas: Business Administration, Biblical Guidance and Office of the Pastor. Notify departments as volunteers are approved for service. Track volunteer opportunities – hard copy and website.
Guest Services – to coordinate the volunteer ministries that make up Guest Services (Guest Parking, Traffic, Valet, Door Greeters, Welcome Centers, Ushers, Guest Central, and Volunteer Central). Work with the Guest Service Committee and other chairpersons to maintain a strong volunteer team in all Guest Service areas. Complete the volunteer application process for all Guest Service volunteers. Update and maintain volunteer records in the computer system. Schedule appreciation events and calendar necessary rooms, when needed, for meetings, keep track of all supplies for Guest Gift bags, communicate with certain vendors, order all “name badges” upon request, and update Welcome Center manuals. Keep track of budget expenditures and balance receipts on a monthly basis. Order supplies as needed.
Committee on Committees – coordinate all 34 committees at Bellevue. Send correspondence to Bible Fellowship Teachers, Staff Consultants and Committee Chairpersons to gather potential nominees for the upcoming committee year. Oversee a 3-part approval process for all nominees. Work closely with the Committee on Committees and communicate all approvals to the Committee on Committee members. Update all Committee worksheets as nominees accept positions on respective committees. Once all committees are complete, coordinate with the Communications department to obtain a finished booklet to present to the church. Update the committee records in the computer system with the new members. Coordinate the Committee on Committees dinner at the end of each committee year.
DAYS/HOURS: Monday – Friday (8:15-4:30)
QUALIFICATIONS
Education Required:
High School diploma required. Associates degree preferred.
Church Specifications: Active Bellevue membership required.
Specific Experience Required:
Minimum 2 years work experience in administrative assistant or similar role required. Must have been an assistant to a manager or director level in recent work history. Ministry work experience preferred.
Specific Skills Required:
Advanced level of proficiency with MS Office suite of products, particularly Word, Excel, and PowerPoint. Strong verbal and written communication skills. Ability to balance numerous priorities and meet deadlines while maintaining utmost professionalism and servant spirit. Demonstrated ability to work independently and as a positive contributor to team efforts, including follow-up/follow through, organization and prioritization. Strong attention to detail. A proven history of success and habit of excellence.
Physical Abilities:
While performing the duties of this job, the employee is regularly required to use hands to finger, handle, or feel; reach with hands and arms, and talk and hear. Frequently required to sit, and occasionally required to stand, walk, stoop, kneel, crouch, or crawl. Specific vision abilities required by this job include close vision, distance vision, color vision, depth perception and ability to adjust focus.
